  • Property address: tenancy arrangements, rent, utility and service responsibilities

  • Information about health or disability: information you choose to provide where it is relevant and necessary to the tenancy or property, for example to arrange a reasonable adjustment, address a health or safety matter or respond to an emergency. We do not routinely require general medical information about tenants or guarantors.

  • Correspondence e.g. emails, texts and other communication from whatever source

Why we need this information about you and how it will be used:

We will use your information only where we have a lawful basis to do so under the UK GDPR. Depending on the purpose and circumstances, this will include:

  • To enter into and perform the tenancy or guarantee: to assess and process your application, complete and administer the tenancy agreement and any guarantee or guarantor arrangements, manage the tenancy and property, collect rent and other sums due and deal with matters arising during or at the end of the tenancy.

  • To comply with legal obligations: to carry out Right to Rent checks, comply with Council Tax, taxation, health and safety and other legal or regulatory requirements and provide information to public authorities, courts or other bodies where we are legally required or permitted to do so.

  • For our legitimate interests: to assess applications and references, carry out affordability and other appropriate checks, protect and manage the property, maintain appropriate records, communicate with tenants and guarantors, prevent and address antisocial behaviour, recover debts and other sums due, establish or defend legal rights and claims and administer and improve our rental business. We will only rely on legitimate interests where our interests are not overridden by your interests or fundamental rights and freedoms.

  • To protect vital interests: where necessary to protect your vital interests or those of another person, particularly in an emergency.
